Why companies commission custom software

Six operational problems enterprise software should solve.

Off-the-shelf tools get a business started. As teams, branches and transaction volumes grow, the gaps between them start costing real time and money.

01

Critical processes run on spreadsheets

Orders, stock, costing and commissions live in Excel files that only two people understand and nobody can audit.

02

A packaged ERP that never quite fits

Expensive customisation, per-user licences and staff working around the system instead of with it.

03

Approvals lost in email and WhatsApp

Purchase requests, discounts and expense claims wait days because nobody can see who is holding them up.

04

Every branch has its own version of the truth

Head office reconciles figures from plants, warehouses and regional offices by hand at every month end.

05

No audit trail of who changed what

Edited invoices, deleted entries and shared logins make audits stressful and fraud hard to detect.

06

A legacy system nobody can change

An old desktop or Access application that still runs the business, but its developer has gone and it won't run on new machines.

Enterprise software services

Custom ERP, CRM and line-of-business software, end to end.

We build complete enterprise platforms or a single module that plugs into what you already run. Every system is designed around your processes, approval chains and reporting needs.

Custom ERP Development

Sales, purchase, inventory, production, accounts and GST in one database, shaped to your workflows rather than a vendor's template.

CRM & Sales Automation

Lead capture, follow-ups, quotations, orders and dealer management, with field-sales apps and pipeline reports.

Legacy Application Modernisation

Rebuild ageing VB, FoxPro, Access or desktop systems as secure web applications, migrating your historical data intact.

Custom ERP development

One ERP system for orders, stock, accounts and people.

A custom ERP replaces the patchwork of billing software, spreadsheets and paper registers with one system and one database. We model your actual document flow, from enquiry to quotation, order, dispatch, invoice and collection, so staff follow the process naturally and management sees it live.

  • Multi-company, multi-branch and multi-warehouse from day one
  • GST-compliant invoicing, credit notes and returns data
  • Inventory with batches, serial numbers and reorder levels
  • Modules released in phases, so value starts early

Workflow & approval automation

Approvals that move in hours, not days.

We turn your approval matrix into rules the software enforces: who can raise a request, who approves it at which amount, and what happens when someone is on leave. Approvers act from email, the web or their phone, and every decision is time-stamped.

  • Amount-based and department-based approval chains
  • Automatic escalation when a request waits too long
  • Email, SMS and WhatsApp alerts with one-tap approval
  • Turnaround reports that show where requests get stuck

Security, roles & audit trails

Enterprise-grade control over who sees and changes what.

Large organisations need more than a username and password. We design permission models around roles, branches, departments and value limits, and record every change with the user, time and previous value, so internal and statutory audits become a report rather than a hunt.

  • Role and permission matrix managed by your administrators
  • Field-level change history on financial records
  • Single sign-on with Microsoft 365 or Google Workspace
  • Encrypted data, secure backups and DPDP Act-aware design

Enterprise application integration

Connected to Tally, GST, banks and the apps you keep.

New enterprise software rarely replaces everything. We integrate it with the systems you keep, such as Tally Prime for accounts, the GST e-invoice and e-way bill portals, bank statement imports, payment gateways and messaging, so information flows automatically and nobody re-types it.

  • Tally Prime voucher and ledger synchronisation
  • GST e-invoice (IRN) and e-way bill generation
  • Payment gateway, bank and UPI reconciliation
  • REST APIs and webhooks for your own and partner apps

MIS reporting & AI

Management information without the month-end scramble.

Because every transaction lands in one database, reports are live rather than compiled. We build role-specific dashboards for owners, plant heads and branch managers, schedule MIS packs by email, and can add an AI assistant that answers questions about your ERP data in plain English.

  • Sales, collections, stock and margin dashboards
  • Branch and department comparisons with drill-down

Our enterprise software development process

How we take enterprise software from workshop to go-live.

Large systems are delivered in phases, each with a fixed scope, a demo every two weeks and a sign-off before the next one starts.

  1. 1

    Requirements workshop

    free

We meet the people who run each process, walk through your documents and agree the scope and priorities for phase one.

  2. 2

    Business analysis & specification

    2–3 weeks

Process maps, approval matrices, report formats and a functional specification you sign off, with a fixed, itemised quote.

  3. 3

    Prototype & architecture

    1–2 weeks

Clickable screens for key users and a technical design covering database, integrations, security and hosting.

  4. 4

    Build in sprints

    fortnightly demos

Modules are developed in two-week sprints with a live demo after each, so feedback shapes the system early.

  5. 5

    Data migration & UAT

    2–4 weeks

Masters and opening balances are migrated and reconciled, and your users test real scenarios before sign-off.

  6. 6

    Go-live & support

    ongoing

Training, a supported cut-over, a warranty period and then an optional support and enhancement agreement.

FAQ

Enterprise Software Development — frequently asked questions

What is enterprise software development?

Enterprise software development is the design and building of software that runs core business operations across an organisation, such as ERP, CRM, HRMS, procurement, inventory and approval systems. Unlike a simple app, enterprise software must handle many users and branches, enforce roles and approvals, keep audit trails and integrate with accounting, tax and other systems. At Sysfo it is custom-built around your processes and delivered in phases.

How much does custom enterprise software cost?

It depends on the number of modules, users, branches and integrations, and on how complex your workflows and reports are. After a requirements workshop and specification, Sysfo gives you a fixed, itemised quote for each phase, so you know exactly what each module costs before work begins. Many clients start with one or two core modules and add the rest once those are live.

How long does it take to build a custom ERP?

A first core module, such as sales and inventory, typically goes live in eight to twelve weeks after the specification is signed off. A complete multi-module ERP is usually rolled out in phases over six to twelve months. Phasing means your team starts using and benefiting from the system early, and later modules are shaped by real feedback.

Should we buy a packaged ERP or build a custom one?

If a packaged ERP fits at least most of your processes without heavy customisation, buying is often sensible. Custom enterprise software development makes sense when your processes are a competitive advantage, when licence and customisation costs keep rising, or when staff rely on workarounds. We also offer a middle path: Sysfo ERP modules tailored to your workflows.

Can the new system integrate with Tally and GST portals?

Yes. We regularly integrate enterprise systems with Tally Prime for accounting, generate GST e-invoices and e-way bills through the official APIs, import bank statements, and connect payment gateways, SMS and WhatsApp. Where an existing application has no API, we can build a secure integration layer for it.

Who owns the source code?

You do. For custom enterprise software development, Sysfo hands over the complete source code, database scripts, deployment guide and documentation. We sign an NDA on request, and you are free to host the system wherever you like and to maintain it with your own team or another vendor.

Can you migrate data from our old system?

Yes. We migrate masters, open transactions and history from spreadsheets, Tally, Access, FoxPro, older SQL databases and other ERPs. Data is cleaned, mapped, migrated in trial runs and reconciled with your finance team before cut-over, so opening balances and stock match exactly on go-live day.

Will it run in the cloud or on our own servers?

Either. Most enterprise systems we build are web-based and hosted on Microsoft Azure, AWS or Indian data centres, but they can also be deployed on servers in your own premises. We advise on the right option for your security, connectivity and budget, and can manage the servers for you.

What support do you provide after go-live?

Every module comes with a warranty period for defect fixes. After that, most clients take a monthly support and enhancement agreement with agreed response times, covering bug fixes, new reports, small changes, framework upgrades and security patches. Larger changes are quoted separately as new phases.
